Bulk Import of Competencies

  • You are able to capture multiple competencies of multiple assessments on an Excel spreadsheet and import these into STASY.

  • To Download the Template, do the following:

  • Click on Examinations > Manage Marks Entry

  • Click on the Import Marks tab

  • Ensure that the Download Template radio button is selected

  • Select the relevant Assessment Type, Assessment Scheme, Assessment Scheme Level, Grade, Class and Assessment Events as applicable and click on the Download Template button. This will create a template where you need to capture the competencies.

  • This will open an Excel file that needs to be used for the competency capturing (It is important that you use this template and not amend any of the fields that are pre-populated as this may cause issues when importing the file)

  • Click on Enable Editing in Excel to edit the excel spreadsheet if required.

  • This excel spreadsheet will include all the assessment events that you selected in the above screen

  • You can now capture the competencies that apply to the students and once completed capturing, you need to save this file in a specific format

  • In Excel, once you have captured the competencies, click on File > Save As, select a relevant folder where you want to save the file

  • Type in a relevant file name and in the Save as Type field, select CSV (Comma delimiter) (*.csv) (if the file does not get saved as a .csv file you will not be able to import the file) .

When the following message appears, click on the OK button

  • To Upload the Template  once you have completed the mark capturing, do the following:

  • Click on Examinations > Manage Marks Entry

  • Click on the Import Marks tab

  • Click on the Upload Template button

  • Click on the Browse File button and select the file that you saved with all the captured competencies

  • Click on the Upload CSV File Button to upload the file into the system

The following message will appear, click OK:

The upload will appear in the screen below and will show as Pending, click on the record showing the file that you just imported and click on the Force Run button in order to force the job to run which will import the competencies, click OK when prompted to do so .

  • If the job appears as Failure, this means that there are a few errors on the file that was imported. This could be due to an invalid competency being captured or an amendment made to the pre-populated fields.

  • Open the csv file again and check to see that all competencies are captured correctly with no spelling mistakes (the drop-down should be used when capturing the competencies to avoid any mistakes), correct any mistakes that may have been captured and reupload the file again.

  • Only once it says completed, has the file been uploaded successfully .

  • To check that the marks have been uploaded, go back to mark entry and search for the class where you imported the competencies and you should see the competencies that you have uploaded:
